Title: GPS Unit Data Entry with Quad Abbreviations

(Placement | Inspection | Quality Control)

  • DO NOT enter any extra spaces or characters (commas, periods, slashes, etc.) between fields. Enter ONLY the data.
  • Write the data on your form (including the UTM coordinates); this will save many headaches if data is lost from the unit when something goes wrong.

Trap placement data will be entered in the following order:

QUAD, SITE, TRAP TYPE

Example: GLACE0001D

If no trap is placed (omitted site), also enter a code as to the reason for the omit:

QUAD, SITE, TRAP TYPE, OMIT REASON

Example: GLACE0002OL

The QUAD ABBREVIATION will be entered in the first five positions. If the abbreviation consists of fewer than 5 characters, leave a blank space for each position that does not contain a character.

Example: ODD 0002D

The SITE NUMBER will be entered in positions 6 through 9. Include leading zeros as placeholders for the site number.

The TRAP TYPE will be entered in position 10. Enter the appropriate code for the type of trap being placed (D or M), or enter a capital O if this site is omitted.

D - Delta
M - Milk Carton
O - Omitted Site

The OMIT REASON will be entered in position 11 ONLY if this is an omitted site. Enter the appropriate code from the following list:

H - No structure on which to hang trap
L - Landowner denied access
O - Obstacle prohibited access
W - Inaccessible terrain - too wet
R - Inaccessible terrain - too rough or steep
V - Inaccessible terrain - vegetation too thick
S - Safety hazard

OUTSIDE TARGET

Enter the letter B in position 11 if the trap type is either Delta or Milk Carton and you are unable to place the trap within the target circle. This code will tell the database that your supervisor has approved the trap location even though it is beyond the allowable distance from the grid node.

Trap inspection data will be entered in the following order:

QUAD, SITE, TRAP CHECK, TRAP CONDITION, CATCH

Example: GLACE0001MG0

The SITE NUMBER will be entered in positions 6 through 9. Include leading zeros as placeholders for the site number.

The TRAP CHECK will be entered in position 10. Enter one of the following codes for the type of check:

M - Midseason
F - Final

The TRAP CONDITION will be entered in position 11. Enter one of the following codes for the condition of the trap:

G - Good
D - Damaged/on ground
M - Missing
I - Inaccessible

The CATCH will be entered in positions 12 - 14. Enter the actual catch value and INCLUDE LEADING ZEROS. Example: 1 moth would be entered as 001 and 11 moths would be entered as 011

NOTE: Enter the catch value ONLY if the TRAP CONDITION is GOOD or DAMAGED. Leave this entry BLANK if the trap condition is MISSING or INACCESSIBLE.

Quality control inspection data will be entered in the following order:

QUAD, SITE, TRAP CHECK, TRAP CONDITION, CATCH, PASS/FAIL, FAILURE CODE

Example: GLACE0001MG0FA

Each field entry is described below. Note especially the change in the way the CATCH data is recorded and the addition of the PASS/FAIL and FAILURE CODE fields.

The QUAD ABBREVIATION will be entered in the first five positions. If the abbreviation consists of fewer than 5 characters, leave a blank space for each position that does not contain a character.

The SITE NUMBER will be entered in positions 6 through 9. Include leading zeros as placeholders for the site number.

The TRAP CHECK will be entered in position 10. Enter one of the following codes for the type of check:

M - Midseason
F - Final

The TRAP CONDITION will be entered in position 11. Enter one of the following codes for the condition of the trap:

G - Good
D - Damaged/on ground
M - Missing
I - Inaccessible

The CATCH will be entered in position 12. Enter a single ZERO if the trap condition is GOOD or DAMAGED/ON GROUND. Leave a single BLANK space in this position if the trap is MISSING or INACCESSIBLE. (The trapper will record the actual moth count on his/her inspection.)

NOTE: If a supervisor needs to enter a QC inspection with a catch value of 10 or more moths, he/she should create two inspection records. One record will be entered as a QC inspection with a catch of zero, and the second record will be entered as a normal inspection with a positive catch value. The database will accept two inspection records for the same site with the same date as long as one record is a QC inspection and one record is a normal inspection.

The PASS/FAIL value will be entered in position 13. Enter a P if the trap site meets the quality control criteria, or enter an F if the trap site fails. Be sure to enter either a P or an F in this position; if any other character is entered here the record will be considered a normal inspection.

The site FAILURE code will be entered in position 14. If the site fails due to a reason that may affect the overall data quality, enter one code from the following list of twelve possibilities (A, C, D, G, I, M, R, S, T, U, W, X):

A - the trap is not assembled correctly
C - trap placed outside target circle
D - directions to the site are incorrect or incomplete
G - grid set at wrong spacing
I - trap info not recorded correctly on trap
R - record filled out, no trap set (bogus data)
T - delta trap set where milk carton indicated
U - UTMs recorded incorrectly on data sheet
X - Trapper did not remove trap from field
M - Multiple traps set at one site
S - Trap set too low to ground
W - Inspection incorrectly done
